outMail - FAQ

Please see below some frequently asked questions regarding our outMail (outbound SMTP) service.

YES!!

outMail 10 is the entry level outbound email service providing a secure service on the move anywhere in the world on any device. More information can be found here.

outMail is a service that allows users to have a secure, safe and reliable outbound smtp server for sending legitimate emails from any location using your own domain name.

Kinda yes

outMail is an authenticated outgoing SMTP email service. outgoing SMTP servers can also be known as "email relays", "outbound SMTP servers", "Email SmartHosts", and more. It is important to note that outMail is not an open relay. outMail is a secure SMTP service that uses SMTPAuth for authentication. We strongly encourage all outMail users to setup and config SPF & DKIM for their sending domains.

Have you experienced difficulties sending emails from more than one location (e.g. at home, at work, in a hotel or visiting another town or country)? This is typically because the SMTP server assigned to you by your ISP (Internet Service Provider) only works when you're connected to the Internet through that Internet Provider.

As soon as you connect to the Internet from a different service provider your orginal SMTP Server will no longer accept email from you. outMail allows you to send emails regardless of your current Internet Connect and regardless of your location without having to change your SMTP server settings.

Yes!!

outMail doesn't restrict you on the number of email addresses or even domain names. We do encourage all users to configure SPF records for their domains to increase their sender reputation.

Yes!!

You can send attachments up to 26MB in size per email.

Not really!!

So you're using a free web-based email service, for example GMail, Yahoo Mail, Outlook.com or Hotmail, to name a few. All of these services publish valid SPF and DMARC records which will include their own mailservers but not outMail's mailservers. If you send an email using a free personal email address using outMail it will most likely be rejected as spam because it will fail SPF checks.

For a more detailed explaination please see our KB article - What is a SPF Record

We recommend sending emails using outMail with your own domain name. That way you can publish your own SPF and DMARC records. Furthermore you can enable DKIM signing of your emails to further increase your email deliverability and reputation.

SMTP is short for Simple Mail Transfer Protocol, which is the method used for Internet email delivery. It is the most widely used protocol for sending outbound email from one server to another, known as a SMTP relay. The outbound SMTP server is generally known as a Mail Transfer Agent or MTA.

The term “Smarthost” / “Smart host” refers to the SMTP gateway or SMTP server within an email system.

Originally the term Smarthost was found more often on Microsoft Exchange servers in the Send Connector section. Send connectors in MS Exchange was were you could have multiple Smarthosts to route emails based on rules. Each smarthost was responsible for forwarding emails to a downstream SMTP relay.

Now days, the term smarthost has become more familiar but still refers to the mechanism of sending your emails from your server to an email gateway (MTA, Message Transfer Agent) or Email SMTP relay.

outMail is a secure and authenticated SMTP Gateway and SMTP Email Relay

Just like a baton in an Olympic relay race; When an email is sent from the sender’s server to the recipient’s server there could be many email servers in between that accept and forward that email on until it reaches its destination.

This process is called an email relay. Since the method of communications between email servers is SMTP (Simple Message Transfer Protocol) then the email relay is referred to as an SMTP relay.

Each SMTP relay is a SMTP server or SMTP gateway if you prefer.

outMail is an example of a secure and authenticated SMTP relay service.

A SMTP Relay Server is a serviced solution specialising in the sending of email (from small to high volume, including bulk email and mail campaigns) on behalf of their clients for the purpose of providing a better delivery rate. A SMTP Relay Service Provider such as outMail takes the reputation of the sending servers very seriously in order to provide a better delivery rate.

As a result the emails relayed from outMail's SMTP servers are quickly relayed and not blocked or directed to a spam folder for that recipient. The outMail SMTP servers are monitored continuously for abuse.

SMTP Error 554, Relaying Denied or Relay Access Denied normally occur when trying to send emails using your ISP (Internet Service Provider) email server but you are no longer connected directly to their network. This error happens a lot when using laptops and PDAs that are no longer connected to your home or business ADSL.

outMail is designed to work with any email client and email server that supports SMTP. This means you configure your outbound settings just once and regardless of your location you can send emails.

Our SPF records are all published under the domain spf.smtp-engine.com. We don’t _check_ the SPF records on Authenticated inbound email – enabling you to have SPF configured for your domain, even though you may be sending from other, unpublished or dynamic IP addresses. See our article on Setting up SPF for Outmail. Setting up SPF for your domain is recommended – and outMail ensures that it can be configured to best protect your domain’s reputation.

To learn more on SPF please see the article "What is a SPF record?"

Yes!!

We make sure that outMail doesn’t interfere with any of the signed headers in DKIM-signed emails, ensuring that downstream DKIM checks are passed. You need to configure your server and DNS to sign the emails at the original source using DKIM.

If you can't DKIM sign emails yourself on your own server, then outMail can DKIM sign them for you. See inside the portal for instructions on DKIM signing with your domain name.

DMARC is a service that’s configured and managed via your own domain’s DNS records. Correct SPF and DKIM setups are pre-requisites for configuring and publishing DMARC policies for your domain. As an outbound email provider, as long as your DKIM and SPF records are configured correctly, outMail fully cooperates with downstream servers which will then make the correct decisions on valid email sent via outMail based on your DMARC policies.

To learn more on DMARC please see the article "What is a DMARC record?"

No, outMail is an outbound SMTP service and you do not need to transfer your domain name anywhere. outMail supports the use of the Sender Protection Framework (SPF) so if you want to use SPF you will need to add the outmail servers to your SPF domain record.

No!!

outMail protects all personal information and is a firm supporter of the CAN SPAM act and therefore we will never pass on email addresses to a third party company.

You can only send emails up to you message limit. When you reach that daily limit you will not be able to send any more emails until the next day.

You will receive a quota alert email and the options to upgrade your outMail package to a high quote should you require.

All outMail products have a daily quota however we appreciate that from time to time you may need to send more emails in one day than the stated quota. So outMail quotas are monitored over a specified set number of days.

More information and a full break down of quotas and max burst rates can be found in the support section.

Each outMail service is measured on a daily quota. More information and a full break down of how quotas are calculated please see the support section.

Each outMail server (SMTP SmartHost and Mail Relay) is configured to support the RFC standards. This includes SMTP rate limits, concurrent connections and number of recipients per email. More information and a full break down the rate limits can be seen in the support section.

Many ISP's have very strict restrictions on how there may be used. Often the case you can only use your ISP's SMTP server if you are still connected directly to their network which can be very restrictive for mobile and remote users. Certain ISP's only allow you to sent emails using their domain name or charge additional costs to include your own domain name.

outMail is a outbound mail server that allows you to securely send emails from anywhere and even using your own domain name. We have a strict no spam policy, but we do allow legitimate mailings to opted in campaigns. Please see the "outMail - Acceptable Use Policy" for more information.

Short answer is Yes and No.

By default outMail does not support NDR’s (Non-Delivery Reports) this is because they are also the route for a large amount of “back-scatter” spam. However if you are a Prolateral Partner or have a outMail1000 or greater you can have NDR’s enabled for a fixed/static IP Address.

Thank you, thank you, thank you.  Suddenly found myself unable to send emails whilst on holiday in South Africa.  Was told to look up @Prolateral and use their outbound SMTP service.

Few minutes later I was back up and sending emails again.  The service worked so well whilst I was away I decided to upgrade from the FREE service to outMail 100.  Keep up the good work guys.
